Request for Proposals: Travel Management Services

Background

The Developing Country NGO (DCNGO) Delegation represents civil society on the Board of the Global Fund. Delegation members come from NGOs working on HIV, tuberculosis, and malaria, as well as organizations focused on cross-cutting issues such as human rights, key and vulnerable populations, and gender. The Delegation’s mandate is to represent the views of its constituency at the Board level, regularly reviewing advocacy priorities based on policy discussions and constituent concerns. The DCNGO Delegation is seeking proposals from professional travel agencies to provide comprehensive travel management services. The selected agency will support travel arrangements for Delegation members, through the Constituency Focal Point (CFP) including international flight options and visa advice. Reliability and cost-effectiveness are key, with a focus on securing the most competitive economy-class fares for direct routes.

Scope of Work

The selected agency will be responsible for:

  • Providing competitive flight quotes
  • Booking and managing international flights
  • Planning cost-effective itineraries with flexible options
  • Offering 24/7 traveller support and emergency assistance
  • Ensuring compliance with budgetary guidelines and cost-saving measures.

Eligibility Requirements

Applicants must demonstrate:

  • Proven experience in managing travel for NGOs
  • Ability to provide competitive rates and flexible booking policies
  • Strong customer support with excellent response times
  • Familiarity with international travel regulations and visa processes.

  • A cover letter outlining company profile, relevant experience, support capabilities, proposed service model, and pricing structure
  • Two references from current clients
